Project Overview:
The Caltrans DSDD (Design Standard Deviation Document) Project was initiated in response to a new permit requirement established by Caltrans, mandating detailed reports for structures within the Caltrans right of way that deviated from established design standards. This new requirement posed significant challenges, resulting in a backlog of hundreds of permits. The project aimed to develop an efficient system to create these reports under the guidance of a civil engineer, enabling the completion of over 300 documents in a few short months and establishing the company as a leader in this specialized permit process.

Key Contributions:
- Template and Review Process Development:
Established a standardized template for the DSDD reports, ensuring consistency across all documents. Developed a review process under the guidance of a civil engineer, allowing a team of data entry staff to collect necessary documents and draft preliminary sections of the reports. - Team Building and Training:
Assembled and trained a team of data entry staff to efficiently gather required documentation and draft reports. The system enabled the team to produce high-quality reports at an unprecedented speed and scale, reaching a rate of 50 reports per week. - Database Implementation:
Developed a custom database to track the completeness of reports and prioritize deliverables. This database was crucial in managing the large volume of documents and ensuring that all reports met the required standards and deadlines. - Cost-Effective Solution:
The system was designed to be cost-effective, allowing the company to offer this service at a competitive price while maintaining high standards of quality and efficiency. - Client Success and Expansion:
The successful execution of this project solidified the company's reputation as experts in the new Caltrans permit requirement. This led to further work with Southern California Edison and other agencies, expanding the company’s influence in the industry.
